Job Title:Personal Assistant to Managing Director
Description:Personal Assistant to Managing Director - Northampton , Northamptonshire Company Information Our client was founded in 1966 and is the leading credit card provider in the UK with 8.4 mln customers. 1 in 5 credit cards in the UK are issued by our client. Role Purpose Personal Assistant to the Managing Director providing full business and administrative support to both the Managing Director and Executive Assistant. Work within the wider team, the role holder will therefore be required to help organise and share general workload as appropriate and during periods of holiday and sickness. Principal Accountabilities Provide PA support to Managing Director including: Extensive diary and schedule management and proactive forward planning. Provide back up papers, research background information as required, ensure the Director is always in the correct place at the right time with relevant papers and analysis as appropriate and agreed with the Managing Director and Executive Assistant. Undertake research of information on a wide variety of internal and external matters. Draft responses for signature and issue e-mail responses on behalf of the Managing Director in urgent and / or important commercial situations. Organise and undertake filing (electronic and paper). Receive incoming mail, open read and prioritise, deciding which need to be seen/dealt with by the Director, other members of the Leadership Team or those for the attention of job holder. Divert, as appropriate, routine or less complex matters away from the Director. Provide secretarial support to other members of the Leadership Team especially when other PA/Secretarial colleagues are out of the office. Book travel arrangements, plan itineraries, visas, foreign currency, medical requirements etc as needed. Organise a wide range of meetings, functions, lunches, conferences, both at internal and external venues. Act as a reference point for the Managing Director. Resolve queries where possible otherwise channelling to appropriate area and following up where appropriate. Monitor all telephone calls taking necessary action personally or diverting to the Exec Assistant or other Leadership Team members or senior management (across the business), referring to the Director only on essential matters. Monitor ongoing correspondence/reports, highlighting pertinent items and bringing them to the attention of the Exec Assistant or Director’s attention. The role holder will be expected to undertake a wide range of other administrative duties, e.g. completing monthly Expense Claim forms, reconciling the Director’s monthly bill, maintaining /monitoring budget figures (as requested). Act as ‘Meet and Greeter’ for a wide range of visitors, some high profile, conveying a professional image at all times. Undertake a variety of control and governance related activities including Business Continuity Planning. Personal Assistant: 40% Administrative: 10% Schedule/Diary management: 30% Team Working: 20% Candidate Specifications Technical Skills/Competencies Proficient in Word, Excel, PowerPoint and Outlook Financial awareness Strong communication skills Strong planning and organization skills Proficient in use of the internet. Knowledge and Expertise (relating to specialist knowledge and expertise required to undertake the role. May include knowledge of the Bank’s products, services and policies - Essential Experience as a high level PA, is essential; coupled with Business awareness and Interaction. - Preferred Knowledge of Financial Services, B2B markets, Credit Card market would be helpful Some understanding of the Group, its structure and key activities would be helpful, albeit strong induction programme will be in place for external hires Experience, qualifications and other requirements specific to the role - Essential Satisfies the FSA Criteria for an approved person, both initially and ongoing The Company Behaviours: of particular importance to this role Drive Performance Delight Customers Build Pride and Passion Execute at Speed Grow Talent and Capability Protect and Enhance our Reputation
Salary Range:£20 - £25/annum bonus, 27 days
